Is wedding coordinator included?

Yes, a wedding coordinator is included for rehearsal and your wedding day.

How soon can the vendors come in to set up?

Vendors can come 2 hours prior to the event start time.

Who decorates the arch and gazebo for the ceremony?

Usually your florist or someone from your party.  They must be self-sufficient and have their own equipment.

When does the music have to stop?

15 min before the end of the event.

How early can the bride and groom come in to change?

Usually after 12 PM on your wedding day.

What and when is the final meeting?

Usually set about 20-30 days prior to your big day.  The final meeting is to go over all the event day’s activities, schedule, menu choices, linen choices, and all related agenda to your big day.  Please bring all your vendors names and their phone #s for the day along with a copy of their insurance.

When is Final Guarantee due?

10 days prior to your event with your final food count.

When is rehearsal schedule for?

Usually a Wednesday or Thursday before your event.  The rehearsal is for one hour only.

  • Place Cards (with the right designation for dinner choices)- alphabetized by last name.
  • Table Numbers & Number Holders
  • Baskets for flower girls, or program
  • Pillow for ring bearer
  • Engagement Photo/Pen
  • Guest Registry Book/Pen
  • Candle Holders for candle ceremony - no permit necessary
  • Candles can be used indoors, but must be pre-approved by the Ventura County Fire Marshal

  • Rented Table Cloths, Napkins
  • Sound Agreement – signed by the DJ
  • Vendor list with all names and numbers and their signed agreements
  • Itinerary for your reception (optional from you or your DJ)
  • Bring a list of all the items you would like to pick up after the event
  • For your convenience we recommend that you take all your belongings on the same night.
  • Copy of your insurance.
  • Final Payment via cash or cashier’s check made payable to "The Vineyards".
Is insurance required?

Yes.  You may purchase the insurance for your wedding or event through – the insurance needs to be a level 2 naming Calamigos at The Vineyards DBA The Vineyards as the additional insured in the amount of $1,000,000.00 with Host Liquor.  This insurance must be provided at least 10 days prior to the event.
